SHENG QIAN PROFESSIONAL CORPORATION ("Sheng Qian", "we", "us") respects your privacy. This policy explains how we collect, use, disclose and protect personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the professional standards of CPA Ontario.
1. Information we collect
- Through this website: when you use our contact form or email us, we collect the information you provide, such as your name, email address, phone number, subject and message.
- Online booking: when you request an appointment we collect the advisor, time, meeting type, client type, topic and contact details you choose. To show available times, the website checks the free/busy status of the advisor's Outlook calendar (it does not read event details); your request is sent to us by email, and once confirmed we send you a calendar invitation.
- When you become a client: to provide accounting, tax and assurance services we collect information needed for the engagement, which may include identification, Social Insurance Number or Business Number, income, financial statements, tax records and information about family members or related entities. This is governed by your engagement letter.
- Automatically: our website host may record basic technical information (such as IP address, browser type and pages visited) for security and performance. We also use Vercel Web Analytics to count page visits; it does not use cookies or identify individual visitors. We do not use advertising or tracking cookies.
2. How we use your information
We use personal information only for the purposes for which it was collected, including to:
- respond to your enquiries and schedule consultations;
- provide the services you engage us for, including preparing and filing returns with the Canada Revenue Agency (CRA) and other authorities on your instructions;
- meet our legal, regulatory and professional obligations (including CPA Ontario requirements and anti-money-laundering rules); and
- communicate with you about your file.
We do not sell, rent or trade your personal information.
3. Consent
By submitting information through this website, you consent to its use for the purpose of responding to you. For client engagements, consent is obtained through the engagement letter. You may withdraw consent at any time, subject to legal or contractual restrictions; withdrawing consent may affect our ability to serve you.
4. Disclosure to third parties
We disclose personal information only:
- to government authorities (such as CRA) when filing on your behalf or when required by law;
- to trusted service providers that help us operate (for example email, document storage, accounting software and website hosting), who are bound to protect the information and use it only for our purposes; and
- where otherwise required or permitted by law.
Some service providers (including our website host) may store or process information outside Canada, for example in the United States. Such information may be subject to the laws of that jurisdiction.
5. Third-party content
Our website includes an embedded Google Map. When you view it, Google may collect information in accordance with its own privacy policy. Links to other websites are provided for convenience; we are not responsible for their privacy practices.
6. Retention
We keep personal information only as long as needed for the purposes described above, and as required by law and professional standards (client working papers and tax records are generally retained for at least seven years). Website enquiries that do not lead to an engagement are deleted when no longer needed.
7. Security
We use reasonable physical, organisational and technical safeguards to protect personal information against loss, theft and unauthorised access. Please do not send your Social Insurance Number or other sensitive documents through the website contact form or regular email. We will provide a secure method for sharing documents.
8. Access and correction
You may request access to the personal information we hold about you and ask us to correct it if it is inaccurate. We will respond within the time required by law.
